Procurement Services: Multi-Functional Devices

Introduction

After completing a competitive Request for Proposal (RFP) process using Ontario Education Collaborative Marketplace (OECM) approved vendors, 深夜福利站 Procurement Services and 深夜福利站 Technology Services are pleased to announce the continued partnership with Toshiba and OE Canada.

As part of this agreement, the current fleet of Toshiba Multi-Functional Devices (MFD) will be replaced with new, leading edge Multi-Functional Devices.  We anticipate the replacement of 深夜福利站’s MFD fleet will occur from August to October of 2025.

We kindly request departments take this opportunity to consider sustainability and assess their usage of the current MFD.

OE Canada is able to provide MFD usage information and can assist departments with assessments; please contact Procurement Services should you like this assistance.

Please contact procurement@uwo.ca if you have any questions or concerns.

Contract

The new contract is effective until August 31, 2031 with an extension option through OECM until August 31, 2033. OE Canada will continue to be responsible for keeping the MFD’s functioning ‘as new’ throughout the duration of the contract.

Equipment Replacement Mapping

Below you will find the proposed upgrade mapping to your new Toshiba model.  To assist in expediting the implementation process, OE Canada has assessed your current system configurations and volumes.  Your new equipment configuration will be based on these parameters.

Information sessions about ordering your new Toshiba device will be held on Zoom.  Toshiba will review how to complete the order form and will outline all the available features for the device. Several sessions are available;

Thursday June 26th from 2pm - 3pm

An order form is available for each Replacement Model by following the links in the chart below. Once the order form is complete please return the excel file to Paula Granger at pgranger@uwo.ca

The presentation from the information sessions, can be found here and may assist in determining what features are on the current MFD and what features to request on the replacement MFD.

Cost Comparison – Existing to Current

cost comparison

深夜福利站's departments and faculties will see an increase in pricing with the new multifunctional devices. Over the past several years, 深夜福利站 was shielded from market fluctuations and inflation due to favorable terms in our previous agreement. While 深夜福利站 has successfully negotiated new competitive rates, cost increases were unavoidable.
